This is a 10-month position (.83 FTE) for an Administrative Coordinator for the Film and Media Studies (FAMS) program and the Theater Department on the Williams Arts Campus at 248 North Third Street.
The FAMS/Theater Administrative Coordinator supports the academic programs of FAMS and Theater. The position, which is primarily a Monday-Friday weekday position, does require some evening and weekend availability to coordinate Theater and Film events which happen during those times. In addition, the Administrative Coordinator will do all of the following:
• Coordinate programs, events, meetings, and activities supervised by FAMS and Theater faculty.
• Track budgets and coordinate payments and contracts as needed utilizing the College Finance software.
• Handle office management duties including answering the phone and coordinating mail.
• Coordinate with faculty to ensure that they have the materials they need, including copies and scans of course documents and production-related materials.
• Serve as the building manager for 248 N. 3rd Street; coordinate with the Director of the Arts to ensure that necessary maintenance is completed, work orders are submitted in a timely fashion, and emergency preparedness plans are in place.
• Use Microsoft Office and Google Workspace programs as needed by FAMS and Theater.
• Master the College’s administrative platforms, including Banner, Cognos and Emburse and use these tools efficiently as and when necessary.
• Purchase supplies and equipment using the p-card as needed and in coordination with faculty and staff, and coordinate p-card usage for both FAMS and Theater.
• Update the FAMS and Theater websites in coordination with department and program faculty, the Arts marketing coordinator, and the College’s Communications Division.
• Coordinate space usage for Theater and FAMS students, as needed.
• Coordinate with Event & Hospitality Services to reserve spaces on the Arts Campus.
• Support Front of House and Box Office staff, as needed.
• Assist with publicity of FAMS and Theater events.
• Manage, maintain, and coordinate program/departmental records for FAMS and Theater.
The Administrative Coordinator is the first point of contact for students, faculty, other staff and visitors to the Arts Campus. The position requires a detail-oriented person with strong interpersonal communication skills and an energetic, positive presence.
Requirements and Qualifications:
• Proven work experience as an Administrative Coordinator, Administrator, or similar role
• Hands-on experience with MS Office; Google Workspace; Zoom or equivalent required
• Strong verbal and written communication skills
• Experience in customer service a plus
• Strong time-management skills with ability to prioritize tasks
• Excellent attention to detail
• Basic math skills for bookkeeping and related duties
• Effective problem-solver
• Some evening and weekend availability for FAMS and Theater events
• Bachelor’s degree preferred
• Experience with Banner, Moodle, Qualtrics and WordPress a plus. Demonstrated ability to learn new technology required.
• Experience in higher education and/or the Arts is especially desirable.
