Reporting to the Disbursement Manager within the Finance and Administration Division, the Student Payroll Administrator is responsible for the preparation and recording of student payrolls. In addition, the position serves as the point of contact for the campus community for student payroll related inquiries and reporting.

Primary Duties and Responsibilities

Payroll Onboarding & Preparation
• Assist in collecting all required payroll paperwork authorizing students to work and verifying timekeeping information submitted by students.
• Coordinating the College’s student payroll calendar for onboarding appointments.
• Ensuring time sheets are completed, approved & submitted according to the payroll calendar.
• Review payroll data for accuracy and resolve any discrepancies.
• Serve as backup to the Payroll Administrator for processing and completing payrolls.

Compliance
• Stay up-to-date with federal, state, and local payroll regulations.
• Ensure compliance with tax laws, wage regulations, and labor laws.
• Assist in preparing and filing payroll-related reports such as W-2 forms.
• Maintain confidentiality of payroll information and student employee records.

Administrative Support
• Respond to payroll-related inquiries from students and staff.
• Assist in maintaining payroll records and databases.
• Generate payroll reports as needed for management review.
• Collaborate with other departments to resolve payroll issues or discrepancies.
• Perform other administrative tasks as assigned by the Disbursement Manager.

Communication
• Communicate effectively with students, faculty, and staff regarding payroll matters.
• Provide guidance and assistance to students on payroll-related inquiries.
• Collaborate with team members to ensure smooth payroll operations.

Special Projects
• Performs special projects and ad hoc assignments as requested.

Experience and Education

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Requirements for the position include an Associates degree in accounting business, finance or related field plus a thorough working knowledge of payroll principles and related regulations. Three or more years’ experience in a payroll function involving increasing levels of responsibility and independent action with regard to processes and systems, preferably in a setting of Higher Education. Experience with Microsoft Office products and familiarity with Ellucian/Banner software desirable.
