The Academic Resource Hub is seeking a highly organized and skilled full-time (.83 FTE) office assistant to work 10 months of the year in a fast-paced office environment that serves a large number of students, faculty, and staff. This operational position provides secretarial and clerical support to administrators for the efficient operation of Academic Support and Accessibility Services department programs.
RESPONSIBILITIES/DUTIES/FUNCTIONS/TASKS:
● May act as department receptionist, answering telephone promptly and professionally.
● Set up and closure of the office during daily operating hours.
● Monitor main department email; as appropriate, reply using department standard messages, forward, or archive messages.
● Maintain office supply stock, handle basic department purchases in coordination with administrators and submit work orders for building needs.
● Prepare and send routine electronic mailings.
● Administer event support, including securing reservations, catering, work orders, and other logistical requirements for one-time or recurring events.
● Assist others, as needed, to ensure departmental processes and procedures are performed appropriately.
● Design basic flyers, brochures, newsletters, invitations, and signs for programs.
● Assist with the coordination of the college-wide Peer Tutoring, Supplemental Instruction, Mentored Study Group programs.
● Following specific protocols, may assist in the preparation and administration of legally mandated student accommodations.
● Process student payroll, as needed.
● Adhere to professional compliance with local, state and federal law as applicable to department work.
● Other related duties as directed.
REQUIRED SKILLS:
● Strong technology skills; proficiency with Google Suite (Calendar, Docs, Drive, GMail, Sheets), Microsoft Office Suite, and other common platforms is important
● An aptitude for and willingness to learn new technology
● Must possess excellent communication skills
● Ability to exercise sound judgment and problem solving in varied situations
● Ability to maintain confidentiality
● Must be service oriented; intrinsically motivated to support the needs of students, parents, faculty, and other staff.
● Strong attention to detail and organizational skills
● Ability to work independently and as part of a team in a fast paced environment
● Previous secretarial experience in an educational setting is highly desirable
QUALIFICATIONS AND EDUCATIONAL REQUIREMENTS:
● Prior clerical experience
● High school diploma
● Proficiency at the advanced level for Google Suite and Microsoft Office
● Ability to learn and use new computer and web-based applications as needed
