The Lafayette College Health Center is seeking a detail-oriented and dependable Department Specialist to support the clinical and operational functions of the Health Center. This individual will play a pivotal role in supporting both the clinical and operational functions of the Health Center, with particular focus on accounting tasks and informed decision-making in medical appointment scheduling.
As the first point of contact for students seeking care, one must demonstrate compassion, discretion, and sound judgment—especially when determining the urgency and type of care needed. The position requires the ability to handle sensitive health information with complete confidentiality, ensure accurate budget tracking, and coordinate complex scheduling with clinical awareness of student health needs, while managing competing priorities calmly and efficiently.
Primary Responsibilities:
Medical Scheduling and Clinical Coordination
● Serve as the initial contact for students seeking medical appointments
● Make informed scheduling decisions based on student-reported symptoms and provider protocols while maintaining strict HIPAA compliance
● Coordinate on-campus and external appointments (e.g., Mantra Health, Circle Medical, St. Luke’s University Hospital, and Lehigh Valley Health Network)
● Explain Health Center services and confidentiality policies in accordance with HIPAA
● Support students in crisis or distress with compassion and professionalism
Financial and Administrative Operations
● Monitor and reconcile departmental budgets using Banner
● Process invoices, purchases, and departmental payments in line with college policies.
● Coordinate travel arrangements and submit expense reimbursements
● Order medical and office supplies and track inventory
● Submit and follow up on campus work orders and IT service requests.
Information and Records Management
● Respond to departmental inquiries and emails promptly and confidentially.
● Coordinate provider schedules, including meetings and clinic coverage.
● Collaborate with campus partners to coordinate health-related programming and events.
Communication, Outreach & Support
● Maintain and update the Health Center website with timely information
● and digital signage with current health information and scheduling instructions.
● Create promotional material for events, services, and health education
● Collaborate with campus partners for health events, wellness initiatives, and programming.

Required Qualifications:
● Proven ability to make sound, independent decisions regarding appointment scheduling based on basic clinical knowledge and Health Center protocols.
● Strong interpersonal and communication skills; able to engage effectively with students, parents, and campus partners.
● Demonstrated ability to maintain confidentiality and professionalism in all interactions.
● Experience in a high-volume administrative role, preferably in a medical setting.
● Strong organizational skills, attention to detail, and ability to manage competing priorities.
● Proficiency in Microsoft Office Suite, Google Workspace, and comfort learning new systems.

Preferred Qualifications:
● Experience working in a college health center or clinical office environment.
● Familiarity with medical scheduling platforms and electronic medical records systems.
● Proficiency in Banner, WordPress, Canva, and Qualtrics.
● Experience with financial reconciliation, budget tracking, and purchase order systems.
● Ability to work independently while being a collaborative member of a multidisciplinary team.
