The Counseling Center is looking for a person with outstanding interpersonal skills to serve in a position that provides secretarial and clerical support to assist the operational efficiency of the Counseling Center. The person will be the first contact for students who wish to make counseling appointments with the staff counselors and must be able to maintain a warm, friendly, and professional demeanor when engaging with individuals in distress. Candidates must maintain strict confidentiality, be able to multitask, work well independently, and remain calm under pressure.

Responsibilities:
● performs receptionist duties and responds to departmental emails
● explains mental health services and limits of confidentiality to students, parents, faculty and staff
● schedules appointments and meetings and maintains calendars for counselors
● coordinates complex confidential information processes, maintains electronic record-keeping system and executes data security procedures
● handles purchases, invoices and payments across various areas of the department
● orders supplies and submits work orders through the College’s on-line system
● maintains, tracks and reviews budgets in Banner
● administers surveys and generates reports
● coordinates events and activities with other campus offices
● monitors and updates department website
● designs flyers, signs and promotional materials
● provides social media and event support
● assists in the yearly onboarding of practicum trainees
● maintains community referral database

Preferred Qualifications:

The Counseling Center uses a specialized scheduling and record-keeping program; candidates should expect to become proficient with this program within a limited time – experience preferred. Experience with scheduling databases, medical records, or work in a health care provider’s office is strongly preferred as is a demonstrated ability to provide excellent customer service in high pressure situations. Evidence of proficiency with Google Workspace, Microsoft Word, Excel, Banner, WordPress, Canva, and Qualtrics are also strongly preferred.
