Lafayette College offers nationally recognized science programs and is currently seeking a team-oriented individual for a new position focused on purchasing and budget maintenance. The ideal candidate will have a positive attitude, value education and have a strong willingness to learn.
Key attributes are the ability to work independently as well as a member of a team. The position will report directly to the Heads of the Departments of Chemistry and Physics.
Responsibilities:
● Accurately maintain and reconcile budgets utilizing the College’s financial management software (currently BANNER).
● Maintain and reconcile Excel spreadsheets to reflect up-to-date budget balances.
● Work closely with Department Heads regarding budgets.
● Interface with faculty and staff regarding items requested for purchase.
● Make purchases via phone or online to vendors, monitor and expedite orders.
● Submit purchase requisitions for capital items to the College’s purchasing department.
● Verify receipt of purchased items by working with faculty and staff to compare items received to items ordered; resolve shipments in error with suppliers.
● Arrange payment for invoices.
● Maintain purchasing documentation records.
● Reconcile monthly P-card reports.
● Liaise with the Controller’s Office.
● Create complex spreadsheets with embedded logic
● Periodically work on special projects and events.
● Act as receptionist including responding to inquiries, directing calls and visitors, and sorting mail
● Manages facilities work orders including student building access requests.
● Coordinate events and activities, schedule meeting rooms, and catering.
● Organize field trips, such as ordering and reserving buses.
● Run on-campus and off-campus administrative errands
● Other related duties as required.
Qualifications:
● Associate degree in accounting or a related field or equivalent combination of education and/or experience are highly preferred.
● High proficiency in Microsoft Excel. Ability to create complex spreadsheets with Boolean logic statements such as IF, AND, OR, COUNTIF.
● Strong analytical and problem-solving skills with keen attention to detail.
● Experience in bookkeeping, purchasing, budget maintenance or related field.
● Thorough understanding of purchasing and budget maintenance processes.
● Strong interpersonal skills and the ability to work as a member of a team.
● Open-minded towards change and improvements in processes.
● Ability to prioritize and manage multiple and conflicting work priorities.
● Excellent attention to detail and exceptional organizational skills.
The position is full-time (36.25 hours/week) and will be primarily focused on purchasing and budget maintenance. The position will allow for flexibility in terms of working remotely, but the person filling the position is expected to be in the office for the majority of the work week.
