The Athletics Office Coordinator is responsible for assisting with the overall internal operations of the athletic department, including day-to-day operations, business management, special events, and camps/clinics. The position will assist and coordinate a variety of administrative support functions to assist senior administration, coaches, and staff. The Athletics Office Coordinator will report directly to the Senior Associate Athletic Director for Facilities & Operations.

Primary Responsibilities:
● Manage the main Athletics Department phone/fax line.
● Process scheduling requests for coaches and staff.
● Manage EMS room and catering reservations for department meetings and special events.
● Assist with scheduling and planning of sport specific events and banquets.
● Arrange travel and conference registrations for Director of Athletics and Senior Leadership Team.
● Maintain filing systems, databases, and confidential records.
● Oversee and coordinate office supply inventory.
● Manage mail operations.
● Manage the shared drive access for new athletic employees and update the department staff lists.
● Business Services
○ Place athletic orders in accordance with payables process in collaboration with Athletics Business Manager and campus accounting office.
○ P-Card Reconciliation.
○ Purchase requisitions for orders in excess of $5,000.
○ Process payment authorizations for contractors, game officials, etc.
● Camps/Clinics
○ Manage camp registration approvals through ARMS
○ Manage EMS reservations and work orders for Camps/Clinics
○ Generate accounting for every Camp/Clinic to include comprehensive financial summary
○ Communicate with coaches for authorization to camp
○ Produce annual Camp/Clinic Audits
● Other administrative Duties as assigned

Minimum Qualifications:
Must have the ability to interpret and communicate institution policy and procedures as well as other associated regulations.
Maintain professionalism and confidentiality.
Some non-standard working hours are required for special events.

Preferred Qualifications:
Bachelor’s Degree preferred. Experience with Google Suite.
Experience in administrative roles, preferably in a fast-paced and dynamic environment. Excellent organizational skills with a strong attention to detail.
Exceptional communication and interpersonal abilities. Ability to multitask, prioritize tasks, and meet deadlines.

Compensation & Application:
The position is a full-time, hourly, union appointment and includes a competitive benefits package.
